We collect personal information for the purposes stated in this Policy from our clients including lot owners, suppliers, contractors, consultants, and service contractors engaged by our ourselves or our clients.

We use personal information we collect to service our clients in accordance with our administration agreement.  We will not use the collected information for any purpose that is not related to servicing our clients.  If required, we will obtain permission from our client prior to sharing their personal information with another individual or organisation.  We take all reasonable steps to destroy or permanently de-identify personal information if it is not no longer required to undertake our obligations under our engaged services.

How we store your information

We hold personal information in a number of ways, including in hard copy documents, electronic databases, email contact lists, and in paper files held in drawers and cabinets.  Paper files may also be archived in boxes and stored offsite in secure facilities.  We take reasonable steps to:

• make sure that the personal information that we collect, use and disclose is accurate, up to date and complete and (in the case of use and disclosure) relevant;
• protect the personal information that we hold from misuse, interference and loss and from unauthorised access, modification or disclosure; and
